Dictations Made Easy

 

The ACCUSTAT ® system gives you multiple dictation options according to your preferences:

  • Toll Free Dial Up Line: Doctors can dictate using a toll free telephone number. Once the voice is recorded the voice files are automatically sent to the medical transcriptionists for conversion.

  • Digital Recording: Dictation can be sent through a digital recorder. The voice files are uploaded to the ACCUSTAT ® server using proprietary desktop software. Voice files are then automatically sent to the medical transcriptionists for processing.

  • PDA Recording: Doctors can dictate and save voice files on a PDA. The PDA is synchronized with the PC and finally transmits the data to the medical transcriptionists.

Seamless Processing

 

The ACCUSTAT ® transcription system ensures time optimization by coordinating between the healthcare providers and the medical transcriptionists. Once the dictation reaches the medical transcriptionist, it is transcribed and returned to the doctor via direct download to the client’s system into their EMR (via interface), into a designated folder on the client’s computer, to a designated printer(s), via e-mail or fax. The doctor can request corrections (no additional fee) or edit the document him or herself if needed.

Secure transfer of information is a premier HIPAA requirement. ACCUSTAT ®  technology is secured by SSL certificates with 128-bit encryption to ensure private and secure transmission of data between transcriptionists, hospitals and physicians maintaining a secure chain of trust.

Complete Audit of all files

ACCUSTAT ® transcription system automatically logs who has accessed a file, and when. You can track or audit the activity on each of dictation and completed record.

Auto-fax Services

 

ACCUSTAT ® offers an auto-Fax Service, which automatically faxes transcribed reports to attending or referral physicians from the database. It relieves the office staff of the time-consuming process of sending faxes manually.  Faxes can be set up to be sent automatically to the referring physician or, the client can view the document within the ACCUSTAT ®. System and choose which document he/she needs to fax to whom.  All faxes sent are documented within the system to ensure that your referrals have received their information expeditiously.

Real Time Status Updates

 

Transcriptions can be tracked in real time on the web site according to their status – voice file uploaded, with the transcriptionist, with the editor, completed and ready for the client or, digitally signed. This enables the practice to keep track of and optimize the time spent on the transcription process.  Real-time TAT reports are available to view to keep up with the process of your transcriptions.  ACCUSTAT ®. Define Your Templates

 

Doctors have the flexibility to define the templates that will be used for the transcribed reports. Do you have multiple dictators and they all have their own templates?  ACCUSTAT ® can handle this with no problem.  Special letterhead required?  ACCUSTAT ® can apply this to your completed transcription as well.

Simplified Accessibility

 

An easy-to-use search interface provides clients the benefit of searching and viewing transcribed reports online or via instant accessibility.  ACCUSTAT ® retains all completed transcription for our clients for three years which saves you time and money in having to save documents on your local PCs.

Online Billing

ACCUSTAT ® transcription system provides running history of all transactions in real time as well as reports to help you track and monitor usage as your files move through the transcription process.

Guarantees

ACCUSTAT ® is set apart from our competitors on many ways.  One main distinction is ACCUSTAT ® upholds guarantees to our clients in two ways:

Turn-Around Time:  If TAT (initially set by the client) is not met, ACCUSTAT ® will not charge the client for that transcription. ***

Quality-Accuracy: ACCUSTAT ® will not charge the client for any files that do not meet the accuracy/quality levels of at least 98%. **

 

 

 

 

 

** The accuracy/quality guarantee can only be enforced if the client provides to AccuStat regular weekly to monthly feedback to AccuStat to facilitate the process of learning the client’s dictators.  The accuracy/quality guarantee cannot be enforced within the first 60 days of a new contract or on strong ESL dictators (English as a second language).

*** The turn-around time guarantee can only be enforced if the client uploads/provides AccuStat dictation on a daily/regular basis by all dictating providers.  This will establish a regulated volume that AccuStat can staff properly.  If the client has dictators that upload two or more days of dictation at a time on a frequent basis, this will offset the volume of the dictation and thus make it difficult to keep proper staffing because some days volume may be very low and some days volume may be very high.  The point is to provide a regular schedule of dictation so that AccuStat can properly staff the account and keep all transcription within TAT.
